Contact Discovery, Data Enrichment, and Validation for 1.5M+ Seller Records

The client partnered with us to refine and scale their fragmented seller database, enabling it to serve as a reliable foundation for lead generation campaigns. Their requirements were:

  • Contact Discovery: Find and verify each seller’s official website, then locate key decision-makers (e.g., owners or directors) to gather accurate contact info like emails and phone numbers.
  • Data Cleansing and Data Standardization: Remove duplicates and fix inconsistencies in the existing data.
  • Seller Data Enrichment: Add missing details, such as brand names, legal names, product types, and regions.
  • Data Segmentation: Organize the data by country, creating a reliable structure for targeted outreach.

Enriching Seller Data across Multiple International eCommerce Platforms

  • Inconsistent Seller Information: Different marketplaces (as well as seller profiles across different countries on Amazon) have their own ways of organizing seller data. This meant we had to employ a custom approach to extract useful information and spend a lot of time cleaning up and reformatting the data to make it consistent.
  • Difficulty Finding Websites: Many sellers didn’t have easily accessible websites, which made it hard to find reliable contact details. To solve this, the team had to use advanced research techniques, combining business names, locations, product types, and trademarks to track down websites.
  • Finding Decision Makers and Key Contacts: Identifying the right person to contact at a company was challenging. Some sellers were individuals using personal names, while others were corporate entities. For the latter, the team had to dig deep using LinkedIn, corporate registries, and specialized databases like ZoomInfo and Bizapedia to identify key decision-makers, like the owner or director.
  • Language Barriers and Data Standardization: For international sellers, data was hard to standardize. There were issues with translations of names, domain name extensions (e.g., .com, .cn, .net), and naming conventions that varied by region. For sellers in non-English-speaking countries like China, the team had to translate and check local business records to retrieve accurate data.
  • Data Verification and Quality Control: With 1.5 million records to manage, ensuring data accuracy was a huge task. The team had to verify every contact and address to make sure the information was correct and up to date. This involved a robust system of checks and validation processes.
  • Data Privacy and Compliance: The project needed to follow strict privacy laws (like GDPR and CCPA), which meant securing personal data while handling it. The team had to implement advanced protocols for data security and verification to comply with these regulations without affecting the speed or quality of their work.

To tackle the challenges of gathering and enriching Amazon and Shopify seller records, we aligned a team of 12-15 web research specialists. The goal was to identify each seller's real website, which wasn’t always easy, especially when sellers used different domain extensions or lacked a clear online presence.

How it was done:

  • Custom Searches: Our team performed targeted Google and trademark database searches using specific keyword combinations (e.g., seller name + city or state) to find the seller's official website. We also tested different domain versions (.com, .net, .us) to ensure we found the right site.
  • Data Validation: Once we found the potential seller websites, we cross-checked the storefronts to make sure they were correct and also confirmed the geographic regions where the businesses operated (using tools like Google Maps).

Finding the Right Decision-Makers

For the eCommerce seller directory, it was vital to have accurate, validated information on who led each seller’s business. This made the directory more valuable to users who needed reliable contact details for direct outreach.

How it was done:

  • LinkedIn & Business Directories: We used LinkedIn and business directories to find key decision-makers like company founders or managers. This was done by performing deep searches using LinkedIn queries and Boolean search techniques (complex searches to filter out irrelevant results).
  • Cross-referencing: For unclear company names, our team turned to specialized databases like DNB, OpenCorporates, ZoomInfo, and Bizapedia to verify the decision-makers.

Structuring the Data for Outreach

This structure ensured that the directory remained user-friendly and easily navigable, helping the users find the right sellers quickly based on specific criteria like location or business type.

How it was done:

  • List Building: Once we identified the decision-makers, we structured the data into segmented lists, sorted by seller type (Amazon or Shopify), location, and decision-maker role (e.g., Founder, Operations Manager).
  • Metadata Appending: Each record was further enriched with supporting data points such as the company website, marketplace URL, industry tags, and LinkedIn profile links.

Data Enrichment Using Tools like Cognism and Manual Research

How it was done:

  • Cognism Extension: We used the Cognism tool to automatically add missing contact details, like email addresses and phone numbers.
  • Manual Research: If Cognism didn’t provide the needed information, the team manually searched through LinkedIn, company websites, and business directories to fill in the gaps.

Data Cleansing, Validation, and Organization

Clean, validated data is essential for ensuring that outreach campaigns are based on accurate, reliable information. Additionally, organizing the data regionally made it easier to execute geographically targeted campaigns.

How it was done:

  • Data Cleansing & Verification: We reviewed and cleaned each seller’s record by confirming business addresses, validating phone numbers, and checking if the websites were legitimate.
  • Segmentation by Region: After validating the data, we organized the entire database by country and marketplace region, creating distinct datasets for Amazon and Shopify sellers.

Special Handling for Chinese Sellers

Sellers in non-English speaking regions, like China, presented unique challenges due to language barriers. So, our team took extra steps to ensure these sellers were identified and their data was validated and correctly recorded.

How it was done:

  • Translation & Registry Lookup: For sellers based in China, we used translation tools to decode Chinese business names. We also looked up the businesses in Chinese registries and applied intelligent keyword parsing to find and verify their websites.
  • Data Documentation: Any verified email addresses discovered during this process were recorded for future outreach.
